You pay for mailboxes, not magic
OneSignature lives inside Outlook, so the only thing that matters is how many people actually have a mailbox. No per-user fees, no per-signature fees, no add-on costs for group signatures or admin seats — just a clean count of Exchange Online licenses.
Only Exchange Online counts
Business Standard, E3, E5, Exchange Online Plan 1 or 2 — if a license includes a mailbox, it counts. Everything else doesn't.
A flat price per bracket
Your count lands in a bracket — 55 licenses and 98 licenses both cost the flat $10/month. No per-seat math, ever.
Adjusts at renewal
Grow from 90 to 120 licenses mid-year? Your price simply moves to the next bracket at the next renewal.

The details, plainly
Everything we get asked about billing — answered without fine print.
Which licenses count toward my total?+
Any user whose Microsoft 365 license includes Exchange Online: Microsoft 365 Business Basic, Standard, and Premium; Enterprise E1, E3, and E5; and Exchange Online Plan 1 or 2. Users with a mailbox get a signature, so they're the ones that count. Standalone products without a mailbox (like a Visio or Project-only license) don't count.
How do the price brackets work?+
Your Exchange Online license count falls into a flat-price bracket: 1–50 is $5/month, 51–100 is $10/month, 101–200 is $20/month, 201–500 is $50/month, and 501–1,000 is $100/month. Whether you have 55 users or 98, you pay the same $10 — no per-seat math. Above 1,000 licenses we move to volume pricing.
How does annual billing work?+
One yearly payment at your annual rate — a 50-license organization pays $55/year, and a 200-license organization pays $220/year. At each renewal we re-count your Exchange Online licenses and bill the current bracket for the year ahead.
What happens if we grow mid-year?+
At each renewal we re-count your Exchange Online licenses and apply the bracket your count falls into. Growth within your current bracket doesn't change your price at all — going from 40 to 49 licenses still costs the same.
Is there anything extra to install on user devices?+
No. Your admin deploys OneSignature once from the Microsoft 365 admin center using a manifest link — about ten minutes — and every user gets the add-in automatically across all their Outlook apps. Updates flow through the same link.
Do you store user data on your servers?+
Not by default. Signatures and profile data live in each user's own Microsoft 365 mailbox. There is one optional feature — an on-behalf-of profile refresh — that administrators can enable if they want fully automatic updates, and it's off unless you explicitly turn it on.
Can we cancel or change plans?+
Yes — billing is per month or per year with no lock-in, and since every tier includes every feature, you never need to “upgrade” for access. Your price simply follows your bracket at renewal.
